We are the data controller for the information described in this notice. Email sales@msdsystems.co.uk with any question about it.

The contact form asks for your name, organisation, email address, an optional telephone number and your message. We use those details for one purpose: replying to your enquiry.

There is no marketing list attached to this form, no newsletter signup hidden inside it, and no automated follow-up sequence. The lawful basis is legitimate interest — you asked us a question and we need your details to answer it.

Optional analytics uses your consent. If you accept it, we measure page views, selected contact-link clicks and whether an enquiry was successfully delivered. The enquiry event records the form's position on the site; we do not send your name, email address, telephone number or message to Google Analytics. Reported page addresses exclude query strings and fragments.

Google Analytics also processes pseudonymous browser and session identifiers, browser and device information, and approximate location derived from the network connection. These records are not fully anonymous, even though we mainly use summarised reports. Google states that GA4 does not log or store individual IP addresses.

The services below process information to host this website, protect the enquiry form and deliver your message. Optional Google Analytics only receives analytics information after you accept it.

Resend holds its delivery logs in the United States. Sending your enquiry there is an international transfer of personal data under UK GDPR, and we rely on the contractual safeguards Resend has in place to cover it.

If you accept analytics, Google may process analytics information outside the UK. Its applicable data-processing terms and international-transfer safeguards govern that processing. Contact us for further information about the transfer arrangements used by these services.

Contact-form security logs record request outcomes and a hashed version of an IP address when available. The hash is pseudonymous information, not anonymous data. We use these records to investigate delivery problems and abuse, on the basis of our legitimate interest in running a reliable, secure enquiry service. Vercel also processes technical request logs under its hosting retention settings.

Enquiry emails are kept in the sales mailbox for as long as the conversation is live, and afterwards only where a business record is needed — for example where an enquiry becomes an engagement. There is no marketing list, so nothing from this form is added to one.

We assess retention by whether information is still needed to answer your enquiry, maintain a business record, investigate a delivery or security problem, or meet a legal obligation. Enquiries that do not proceed are removed during routine mailbox review. Hosting and delivery logs are subject to the relevant provider retention settings. You can ask us about the records held for your enquiry.

Our Google Analytics property is set to retain user and event data for two months, without resetting that period when a visitor returns. Changes to this setting can take 24 hours to apply. Most standard aggregated reports are not affected by this setting, so summarised statistics may remain longer. This is separate from the lifetime of cookies in your browser, described in our cookie policy.

Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Depending on the circumstances, you may also ask us to restrict processing, object to processing based on legitimate interests, or request data portability. Email sales@msdsystems.co.uk and a director will deal with it directly.

If you are not happy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

This website does not use advertising cookies. Where Google Analytics is enabled, it only loads after you actively accept analytics through the cookie banner or Cookie settings in the footer. You can withdraw consent at any time through the same controls. Withdrawal stops further analytics collection and removes this site's analytics cookies; it does not delete information Google has already received. We will update this notice before introducing any additional processor, tracking or storage beyond what is listed here.
